If you’re using Microsoft Dynamics 365 Business Central and Power BI, you’ve likely wondered how to bring your visual reports directly into your day-to-day workflow. Embedding Power BI reports directly into the Role Center or even FactBoxes on specific pages can drastically improve efficiency and decision-making, without switching tabs.

To embed Power BI reports inside Business Central, you need:

  • A valid Power BI license
    • Power BI Pro is required (minimum) if you’re using shared workspaces or collaborating across users.
    • Power BI Free may be sufficient for personal use with My Workspace.
  • A licensed user in Dynamics 365 Business Central
    • The integration only works for licensed BC users with permissions to view pages and Power BI reports.
  • The report published to a Power BI workspace
    • It must be in the same Azure Active Directory (AAD) tenant as your Business Central environment.
  • Permissions to personalize pages in Business Central

Step 1: Publish your Report to Power BI Service

Power BI Service will be the catalyst that enables you to embed your report into Business Central. You cannot embed reports that live solely within Power BI Desktop.

  1. In Power BI Desktop, publish your completed report to a workspace.

Tip: Your Power BI workspace must be assigned to the same environment as your Business Central tenant. Only reports in Power BI workspaces tied to your user will appear in Business Central.

Step 2: Add a Power BI Report to a Role Center

The Role Center is your homepage in Business Central. Adding Power BI here brings your KPIs front and center.

  1. On your Role Center, scroll down to the bottom and you will see Power BI Reports
  2. Hit “Get Started with Power BI” and go through setup. This will validate if you hold a valid PBI License.
  3. Hit Select Report. NOTE: If you do not see the report you wish to embed ensure that you have access to the Workspace in Power BI Service.
  4. A pane will then open showing available reports (you must have access to the workspace) scroll to find your desired Power BI Report.
  5. Hit OK.

Your report is now embedded into your role center! You will notice that dynamic activity is still functional. I recommend using Expand to have the complete Power BI Service experience without leaving Business Central.

Step 3: Embed Power BI into FactBoxes on Pages

Did you know you can also embed Power BI reports in FactBoxes on key pages like customers, vendors, or items?

Here’s how:

  1. Navigate to the page (e.g., the Sales Orders).
  2. Click the Settings gear icon → Personalize.
  3. If clicked into the fact box, Power BI will show (with lines though it – this indicates it’s hidden). You must hit the red down arrow and hit show.
  4. Exit Personalization by hitting Done.
  5. In the Power BI FactBox Widget
    • Get Started with Power BI (if you have not validated your license yet) > Select your desired report
    • Select Report

Now that you know how to embed Power BI reports into Business Central, try it out with reports your team uses daily!
